The short version
- We collect what Nexdo needs to work: your account details, the tasks and messages you create, and any files you choose to attach.
- Your tasks, conversations and files are stored so that only your account can access them.
- To power AI features, we send the content a request needs to Google's Gemini API, which processes it and returns a result.
- Our product analytics record actions (like “task created”), not what your tasks or messages say.
- We don't sell your personal information, and there are no ads in Nexdo.
- You can delete your account — and everything in it — from inside the app at any time.
1. Who we are
Nexdo (“Nexdo,” “we,” “us”) makes the Nexdo app for iPhone, iPad and Android and runs this website (together, the “Service”). This policy explains what information we collect when you use the Service, how we use it, who we share it with, and the choices you have.

2. What we collect
2.1 Account information
To create an account you either give us your email address and a password, or sign in with Google or Apple. When you use Google or Apple, they share your name and email address with us — if you choose Apple's “Hide My Email,” we receive a relay address instead. We email you a one-time code to verify your address, and you sign in later with a code sent to your email or with your password.
You can add or change your name and profile photo in Settings → Account. Your password is handled by our sign-in provider, Clerk; we never see it in plain text.
2.2 Content you create
- Tasks: titles, notes, deadlines (the day, the time if you gave one, and the time zone it was set in), time estimates, steps, completion status and when you completed them, how often a task repeats and what happens when an occurrence is missed (for repeating tasks), whether you turned reminders off for a task, pinned it to the top of Next, and the priority and “doable right now” scores Nexdo calculates for them.
- Context for the AI: notes you add under “Add context for AI” on a task, the advice Nexdo writes for a task after reading them, and the reason you give when you set a task aside for a while.
- Assistant conversations: the messages you send the Assistant and its replies.
- Magic mic: we don't keep the audio or a transcript — only the changes it makes to your tasks, including any notes it saves on a task.
- Attachments: photos, voice recordings and documents (PDF, plain text, CSV or Markdown) you attach in the Assistant, up to 6 MB each.
2.3 The setup demo, before you have an account
During setup you can type or speak a “brain dump” to see Nexdo in action — once per device. That text — and your voice recording, if you speak it — is sent to our servers and our AI provider so we can transcribe it, pull out tasks and suggest where to start. We don't save it to our database at that stage: the tasks it finds are kept on your device, and only become saved tasks if you create an account. Logging into an existing account instead discards them.
2.4 Information that stays on your device
Some things never leave your phone: your language, theme, Auto mode and notification preferences, and the state of a running focus-session timer. The app also keeps a local copy of your tasks and Assistant conversation so it stays fast; that copy is removed from the device when you sign out. The one exception is a task that hasn't reached your account yet — for example because you were offline — which stays on the device, visible to no one, until you sign back in there and it's saved to your account.
Reminders are scheduled by your phone itself: deadline reminders (on by default once you allow notifications), and, if you turn them on, the daily planning note and overdue alerts. A task's title and deadline — and, in the daily planning note, how many tasks are due and the title of the one to start with — go to your phone's notification system, not to us or to a push-notification service, and can appear on your lock screen. Signing out cancels any reminders still waiting.
2.5 Usage and diagnostics
We use PostHog to understand how people use Nexdo and to find and fix problems. The app sends:
- Screen views and taps on interface elements — which part of the app was used, not what you typed.
- Product events such as signing up or in (and whether you used email, Google or Apple), creating a task, starting or finishing a focus session, attaching a file, changing the language, moving through setup, and opening the Nexdo Pro page or subscribing from it. These carry details like the priority level you picked, a time estimate, whether a task has a deadline, how many steps it has, how often it repeats, the type of file attached, which setup goals you selected, or which Nexdo Pro plan you chose — never task titles, notes, message text, file contents or payment details.
- App lifecycle events (installed, updated, opened, backgrounded) and error reports when something breaks.
- Device and app information, such as device model, operating system, app version, language and time zone, and an approximate location derived from your IP address.
Once you're signed in, these events are linked to your account ID and the name on your account.
2.6 Technical information our servers process
When the app talks to our servers, we receive your IP address and basic request information. For requests made before you sign in (the setup demo), we use your IP address to limit how many requests can be made per minute; that is held briefly in memory. To keep the demo to one run per device and prevent abuse, we also store a random ID the app creates on your device and a one-way hash of your IP address (not the address itself), along with how many demo requests were made. This isn't linked to your account. Once you're signed in, we count what your account uses of its plan each month — how many AI chat messages, photos and documents, breakdowns and advice, and how many seconds of voice notes and Magic mic — so each plan's monthly allowance can be applied. A voice note's length is measured by Google before it's transcribed. Magic mic's audio goes from your phone straight to Google, so when a session opens we set its time aside from your month, and give back what it didn't use once the app tells our servers how long it listened; for this we keep a record of each Magic mic session (when it opened, how many seconds it was given, and whether the app has reported back). We also count how many Magic mic sessions your account opens each day, so unusually heavy use can be capped. These counts and records are linked to your account ID and hold only numbers, never what you asked or said. Our servers keep limited technical logs — for example errors, request types, file types and file sizes — to keep the Service running. We don't intentionally log the content of your tasks, messages or files.
2.7 Device permissions
Nexdo asks for access only when you use a feature that needs it:
- Microphone — to record voice notes, and to hear you while Magic mic is listening.
- Camera — to take a photo of a list, whiteboard or document.
- Photo library — to attach a photo, set a profile picture or add a screenshot to feedback.
- Notifications — to remind you of deadlines (asked the first time a task with a deadline needs a reminder), and for the daily planning note and overdue alerts if you turn them on.
You can turn these off at any time in your device's settings.
2.8 Nexdo Pro subscriptions
Nexdo Pro is sold through the App Store or Google Play, which handle the payment — we never see your card or bank details. We use RevenueCat to keep track of subscriptions. Once you're signed in, the app gives RevenueCat your account ID, so a subscription follows your account to any device you sign in on. If you subscribe, RevenueCat receives the purchase record from the store: which plan, its price and currency, when it started, renews or ends, and store transaction IDs. It also receives basic device and app information (such as operating system, app version, language, country or store region, and your IP address). When you use an AI feature as a subscriber, our servers also ask RevenueCat, by your account ID, whether your account has Nexdo Pro, so the right monthly allowance applies. Nothing about your tasks or messages is sent to RevenueCat.
2.9 Feedback and support messages
From the app (Settings → Help & Support): we store the type of feedback, your message, any additional details or screenshot you add, the app version, your platform (iOS or Android) and when you sent it. It's linked to your Nexdo account ID, so the app doesn't ask for your email address; if we need to reply, we use the one on your account. A screenshot is kept in a private storage area, in a folder that belongs to your account.
From this website (the feedback and contact forms): you don't need an account. We store the type of message, what you wrote and when, and your email address only if you choose to give it — we use it only to reply to that message. To stop spam, we also keep a one-way hash of your IP address (not the address itself) for one day, separately from your message.
Feedback is stored in our Supabase database. Only the Nexdo team can read it — other users can't.
3. How we use your information
- To provide the Service: store your tasks and conversations, keep them in sync across your devices in real time, and show you what to do next.
- To power AI features, as described in section 4.
- To keep Nexdo secure: verify sign-ins, prevent abuse and rate-limit requests.
- To understand and improve Nexdo: using the analytics and error reports in section 2.5.
- To support you: reply when you contact us, and send important notices about your account or this policy.
- To meet legal obligations.
We don't use your information to show you ads, and we don't sell or rent it to anyone.
If you're in the European Economic Area or the UK, we rely on these legal bases: performance of our contract with you (providing the Service and its AI features); our legitimate interests in keeping Nexdo secure, understanding how it's used and improving it; your consent for device permissions and, where the law requires it, analytics; and legal obligations.
4. How AI features use your data
Nexdo's AI features run on Google's Gemini API. When you use one, our servers send Google only what that feature needs:

Google processes this content to generate a response and returns it to us; its handling of that data is governed by Google's Gemini API terms. We don't use your content to train AI models.
AI can make mistakes. Suggested tasks, dates, time estimates and advice may be wrong, so check anything important. By default, the Assistant asks before changing your tasks. If you turn on Auto mode in Settings, it applies changes straight away — type “undo” to reverse the last one. Magic mic always works that way: it changes your tasks as you talk, without asking — tap Undo or say “undo” to reverse the latest change. When you add context to a task, Nexdo may update the task's details to match, and always shows you exactly what it changed.
6. How we protect it
- Per-account access rules. Every task, message and attachment is protected by database rules that only let the signed-in owner read or change it.
- Private file storage. Attachments live in a private storage area, in a folder that belongs to your account. When the app shows you a file, it uses a link that expires after one hour.
- Encryption in transit. Data travels between the app and our services over HTTPS.
- Secure sign-in. The app keeps your session in your device's secure storage, and our servers verify it on every signed-in AI request. Our API keys stay on our servers and are never shipped inside the app.
No system is perfectly secure, but we work hard to protect your information, and we'll notify you of a breach affecting your data as the law requires.
7. How long we keep it
- Your account, open tasks, conversations and attachments are kept for as long as your account exists.
- Completed tasks are deleted automatically seven days after you complete them, from your device and from our servers. The app does this when you open it, so a task can stay a little longer if you haven't used Nexdo since. Reopening a task and completing it again starts the seven days over.
- Deleting a task removes it from our servers as well as your device.
- Clear chat history (Settings → AI Inbox) deletes your Assistant messages from your device and our servers. Files you attached stay in your private storage until you delete your account — email us if you'd like them removed sooner.
- Signing out removes the local copy of your tasks and conversation from that device. Your data stays in your account for next time. Tasks that hadn't been saved to your account yet stay on the device until you sign back in there, so they aren't lost; deleting your account removes them too.
- Deleting your account permanently removes your attachments, messages, tasks, the feedback you sent from the app (with its screenshots) and your account — see section 8.
- Feedback and support messages (section 2.9) are kept while they help us support you and improve Nexdo. App feedback goes when you delete your account. Website messages aren't linked to an account — email us if you'd like one deleted. The hashed IP address used to limit spam on the website forms is deleted after one day.
- Setup demo records (the random device ID and hashed IP address from section 2.6) are deleted after 90 days.
- AI usage counts (section 2.6): the monthly counts and the Magic mic session records are deleted after three months, and the daily Magic mic counts after 30 days.
- Subscription records (section 2.8) are kept by RevenueCat and the App Store or Google Play for as long as billing, tax and accounting rules require. Deleting your account doesn't cancel a Nexdo Pro subscription — cancel it in your App Store or Google Play subscriptions.
- Analytics data is kept for a limited period under our analytics provider's retention settings. You can ask us to delete analytics linked to your account at any time.
- Backups: our providers may keep encrypted backups for a short period, after which deleted data is gone for good.
8. Your choices and rights
- See and edit your data: your tasks, name, photo and password are all editable in the app.
- Delete your account: go to Settings → Account → Delete account. This permanently deletes your tasks, conversations, attachments, app feedback and account on every device. Can't get into the app? Follow the steps on our account deletion page.
- Get a copy of your data: email us and we'll send you an export.
- Permissions: switch microphone, camera, photo or notification access off in your device settings.
Depending on where you live — including the EEA, the UK and California — you may have the right to access, correct, delete or port your personal information, to restrict or object to certain processing, and to withdraw consent. To use any of these rights, email nexdo.support@gmail.com from the address on your account so we can verify it's you. We'll respond within 30 days, or sooner if your local law requires it. We won't treat you differently for exercising your rights. You also have the right to complain to your local data protection authority.
We don't sell personal information, and we don't “share” it for cross-context behavioral advertising, as those terms are defined under California law.
9. International transfers
Our service providers may process your information in the United States and other countries whose data protection laws differ from yours. Where the law requires it, we rely on appropriate safeguards — such as the European Commission's Standard Contractual Clauses — for these transfers.
10. Children
Nexdo isn't intended for children under 13, and we don't knowingly collect their personal information. If you're under the age of digital consent where you live, you need a parent or guardian's permission to use Nexdo. If you believe a child has given us personal information, contact us and we'll delete it.
11. Changes to this policy
We'll update this policy as Nexdo changes. When we do, we'll change the “Last updated” date at the top. If a change is significant, we'll tell you in the app or by email before it takes effect.
